Grievance Redressal Policy

Introduction

Grievance Redressal System is a vital part of any administration. Yogoda Satsanga Mahavidyalaya (YSM) has established a dedicated committee, known as the Student’s Grievance Redressal Committee (SGRC), to address and resolve student’s grievances effectively and timely, which is easily accessible (through online and offline forms) and offered to complainants at no charge. It is the responsibility of the Mahavidyalaya to provide a secure and contented environment to all its staff and students.

The grievance redressal committee has been formed in the college as per UGC guidelines to redress the grievances of both the staff and the students. This policy aims to foster a constructive, genuine, and sustainable educational environment addressing concerns in an unbiased and positive manner. The committee has been continuously striving to take the best efforts possible to create a harmonious and conducive atmosphere to everyone in question.

Objective

A Grievance Redressal Committee has been constituted for the redressal of the problems reported by the students of the college with the following objectives:

  1. Upholding the dignity of the College by ensuring a strike-free atmosphere through promoting cordial student-student and student-teacher relationships.
  2. Encouraging students to express their grievances and problems freely and frankly, without any fear of being victimized.
  3. Providing a Suggestion/Complaint Box installed in front of the Administrative Block for students who want to remain anonymous to submit their grievances and suggestions for improving academics and administration in the College.
  4. Advising students to respect the rights and dignity of one another and show utmost restraint and patience whenever any rift arises.
  5. Advising all students to refrain from inciting conflicts against other students, teachers, and the College administration.
  6. Advising all staff to be affectionate towards the students and to not behave in a vindictive manner towards any of them for any reason.
  7. Ensuring that the views of each complainant and respondent are respected and that any party to a grievance is neither discriminated against nor victimized.

Composition of the Committee

The committee is constituted by members who are committed to upholding the principles of fairness and confidentiality. The members include:

  • A complaint from an aggrieved student relating to the institution shall be addressed to the Chairperson, Students’ Grievance Redressal Committee (SGRC).
  • YSM shall constitute such number of Students’ Grievance Redressal Committees (SGRC), as may be required to consider grievances of the students, with the following composition, namely:
    • A Professor - Chairperson
    • Four Professors/Senior Faculty Members of the Institution as Members.
    • A representative from among students to be nominated on academic merit/excellence in sports/performance in co-curricular activities-Special Invitee.
    • At least one member or the Chairperson shall be a woman and at least one member or the Chairperson shall be from SC/ST/OBC category.
    • The term of the chairperson and members shall be for a period of two years.
    • The term of the special invitee shall be one year.
    • The quorum for the meeting including the Chairperson, but excluding the special invitee, shall be three.
    • In considering the grievances before it, the SGRC shall follow principles of natural justice.
    • The SGRC shall send its report with recommendations, if any, to the competent authority of the institution concerned and a copy thereof to the aggrieved student, preferably within a period of 15 working days from the date of receipt of the complaint.
    • Any student aggrieved by the decision of the Students’ Grievance Redressal Committee may prefer an appeal to the Appellate Authority, within a period of fifteen days from the date of receipt of such decision.

Grievance Redressal Procedure

Students can submit their grievances through a designated platform (online or offline form).

The committee acknowledges the receipt of the grievance and assures the student that it will be addressed promptly.

The committee conducts a confidential enquiry to investigate the nature and pattern of the grievance.

The committee analyzes the findings and formulates a resolution strategy.

The resolution is communicated to the student, and feedback is solicited to ensure satisfaction with the outcome.
